Backupify has launched a new service called Free Space that finds big emails and free up some space on your Google apps account. If you haven’t heard of backupify before, it is a cloud based backup service. Free space for Google apps is a free service to quickly clean up your Google apps Gmail account. It can reduce large email inbox before it reaches the 25GB quota!

Let’s take an example before I tell you about its features. If your business email is hitting the limit means that your employees won’t be able to send or receive email until the size is decreased. Buying extra storage space is another option. Today we are not going to talk about it. What if you lose your customers because your employees won’t be able to send or receive email because of this limit?

Free space allows you to scan your enter email inbox for large emails/attachments and alerts to you clean them. If you’re a Google apps administrator or a Google apps user, with Free space you can authorize your Google apps account and clean them. As a Google apps administrator you have separate login to scan your entire domain to identify large accounts and emails and then alert your employees to delete those files.

When you authorize your Google apps account, it shows how many users have less than 10% of free space remaining, how many has less than 20% etc. It shows the top 10 storage users and top 10 largest files in your inbox. With all these details, you can take an action.

Backupify provides this free service “Free Space” which is a clever idea to get more users to try backupify. Because, inside the dashboard it gives you an option to back up your emails (large files) to a cloud based backup service.

How does Safe Gmail work?

Install the Safe Gmail extension in your chrome browser.

Open compose email, select the encrypt option.

Enter a security question and an answer. The question and the answer should be known to your recipient too.

Now compose your message and send it.

Your messages are encrypted and sent.

The recipient will receive your message with the link to decrypt it. Only when the recipient answers your question, he is able to see the encrypted message.

After some time, the encrypted messages are automatically expired to prevent unwanted readers.

Is it really safe to use the extension?

When you hit the send button, the encryption is done in your browser and email message is sent. The encryption message isn’t stored anywhere; instead there is an encryption key that gets stored in the Safe Gmail cloud. Similarly, the message decryption is just the opposite. The encryption key is pulled out from the Safe Gmail cloud and the messages are decrypted. So your email messages aren’t stored or send anywhere.

Chrome Shortcuts

Home button

By default chrome doesn’t show the home button on the browser bar. Home button is most useful when you need to quickly open. You may set home page as Google or bing or any search engine. From the settings page, you can show home button on your browser bar.

Quick History

Using ctrl+h you can view browser history, or if you just hold the back button on your browser bar for few seconds or right click the left arrow (back button) on the browser taskbar, it will list out the websites that you’ve visited. This is another useful trick.

Organize bookmarks

How do you organize your bookmarks? You hit ctrl+d to add any page to your bookmarks on chrome. But, bookmarks will be saved and title of the page will appear on your bookmarks bar. It takes lot of space. To organize your bookmarks effectively, you can remove the title and just keep the icons alone. You can easily identify the website and also save lot of space. You can have lot of bookmarks in your bookmarks bar.

You can pin tabs that you use frequently. For example: I use Google reader daily to read feeds that is subscribed to. So I pin Google reader tab on my browser chrome. To pin tabs on chrome, you just right click the tab and select ‘pin tab’. It also works with Firefox.

Open multiple tabs in chrome

You can open multiple tabs in chrome. By default, you can set chrome to open a new tab page or your home page (Google search page). If you want, you can set chrome to open multiple pages. I use this option to open all my daily check websites. Normally, every day when I open Google chrome, I check Gmail, Facebook, Twitter and my blogs. So I configure chrome to open multiple pages at launch.

Open settings > start up pages > set pages by adding different URL’s into it. Now every time if you open chrome, all the websites that you’ve set will load on start up.

Drag tabs to desired location

When you open a link on the Google chrome, by default it opens in a new tab to your right. But guess what? You can simply drag and move the tab to your desired location. You can place the tab to anywhere on chrome by simply dragging it.

Right click search text

When you want to search a word or phrase found on a web page, simply highlight select it and right click and use the option “search Google for…” The search engine opens in a new tab. I guess many of you already know this trick. Similarly, if you highlight a website URL which isn’t hyperlinked, you can right click and visit the website directly. This trick saves lot of time. Instead of opening a new tab and pasting the text, you can simply use this to go the search page.

Quick calculations in the address bar

From the address bar of chrome, you can search any website; use it as a calculator too. If you’re too lazy to get out your calculator, chrome address bar can do simple calculations directly in the address bar.

Change default search engine

You can quickly change the default search engine on chrome. On the address, right click and select edit search engine. Or you can type this in your address bar – chrome://settings/searchEngines (this will allow you to change your search engines from Google to Yahoo or Bing).

This is mainly because of the Adobe Shockwave Flash plugin for the browser. This is the most annoying one because it just freezes the whole tab and ruins your browsing experiences. To fix this, I have a simple solution.

In your chrome browser, type About:plugins in your browser address bar. It will list out the list of plugins that you’ve installed. If you see Flash (2 files) then it is understood that you’ve installed it two times. On the right side of same window, you can find Details. Click the + button to expand and show some details of it.

Now you need to disable one flash plugin. You should disable the one which is installed in the chrome app data folder. The location something like C:\Users\name\AppData\Local\Google\Chrome …

Restart the browser for the changes to take effect. Mostly this will fix the problems that you’re facing because of Shockwave flash issues.

Some websites will show the full news articles, some may only show partial feeds that you need to click the link and go to the website to read its full article. To avoid that, here are two extensions that will allow you to read the full news inside Google reader interface.

1. GRIwsome (aka Inline Google Reader)

2. Super Full Feeds for Google Reader

This extension doesn’t need any description. Because, once you’ve installed, go to Super settings (which will be available inside Google reader interface). Click on the super settings to select between Full entry content & readable content. Each feed item has 3 tabs on the top Readable, Link and Feed. Readable entry content from the source of the feed, parsed to extract only the most important content. Link will help you to view the entry link in an iframe that has it’s height adjusted to the correct size of the entry page and Original feed entry.

Note : If you want to browse the web, read and consume lot of information – For god sake leave the Internet explorer and start using Google chrome.
